RETAIL SHOP 

POST A: DATA CAPTURE CLERK (2 Posts)

QUALIFICATIONS AND EXPERIENCE 

  • Diploma or Degree in Accounting/ Finance/ Business Management
  • 5 ‘O’ level subject including Mathematics and English
  • At least 2 years relevant experience in a similar position.
  • At least 1 year working experience in retail environment would an added advantage.

DUTIES AND RESPONSIBILITIES

  • Ensuring that the data is captured and presented accurately when required. 
  • Ensuring that all supplier invoices have been inputted into the accounting software and conduct the necessary reconciliations to ensure accuracy. 
  • Capture authorized stock & expense invoices into the system and ensuring correct allocation for both stock and expense invoices. 
  • Capture supplier journals and general ledger journals authorized by the Accountant
  • Capture supplier deduction forms for Withholding tax, Discounts and Rebates into the system.
  • Captures goods for resale.
  • Ensures all authorized forms have appropriate supporting documents attached, and duly signed by the Accountant.
  • Reviews and ensures the Receiving, Internal & External security date stamps are on all invoices together with relevant sign off including sign off by the Accountant on the invoice, order and GRV before processing. 
  • Ensures stock invoices are accompanied by a reconciliation between shop invoice receiving registers and the stock system is duly signed off by the Manager
  • Collaborates with key departments to ensure that information is collected and added into the system. 
  • Carrying out any other relevant functions as assigned.

POST B: LOSS CONTROL ASSISTANT (3 Posts)

QUALIFICATIONS AND EXPERINCE 

  •  Diploma or Degree in Risk / Security Management.
  • 5 ‘O’ levels subjects including Mathematics and English 
  • At least 2 years’ experience in a similar post. 
  • At least 1-year retail experience in a retail environment will be an added advantage.

DUTIES AND RESPONSIBILITIES

  • Assisting the Loss Control Supervisor with the day-to-day risk management aspects of the store and drive the shop’s productivity and ensuring appropriate strategies to eliminate, avoid or minimize the impact of risk to the allocated shop. 
  • Must minimizing store’s loss of inventory due to theft, error, shoplifting, or fraudulent activity. 
  • Furthermore, the incumbent is responsible for assisting in protecting company assets and maintaining or improving store profitability by implementing security and safety programs for employees and customers.
  • Monitoring adherence to a standard operating procedure to avoid cases of shoplifting, vandalism, counterfeiting, robbery, burglary, and store safety.
  • Constantly liaising with all departments and ensure that losses through expiries, shop lifting, and theft by staff, breakages and production shrinkage are maintained within the targeted levels. 
  • Ensures the effective implementation of all approved controls are aimed at minimizing shrinkage. 
  • Ensuring that controls are adhered to during the movement of stock, from receiving, warehousing, merchandising and transfers to other departments and other stores.
  • Assists in overseeing the stock take processes, ensuring that the stock counts are done at scheduled dates, results of which are captured in accordingly.
  • Managing expiries and breakages, ensuring stock integrity is maintained at all time
  • Implements various techniques to reduce the possibilities of losses and the severity of losses through identifying, assessing and controlling threats to the store’s earnings and assets. 
  • Conducts regular reviews of the store processes and systems, and advice on appropriate risk management mitigation measures to the store management. 
  • Effectively implement processes to avoid cases of criminal offences. 
  • Implement plans to protect the buildings and grounds from physical damage, including their contents, occupants and customers. 
  • Conduct regular patrols in and around the building to check on security of the store and its contents. 
  • Effectively display time management, initiative, teamwork and communication skills, adhering to laid down procedures. 
  • Carrying out any other relevant functions as assigned

POST C: SECURITY GUARDS (6 Posts)

QUALIFICATIONS AND EXPERIENCE

  • At least 5 ‘O’ Level subjects 
  • Certificate in Security studies.
  • At least two years’ work experience in related position is a must 
  • One-year experience in retail industry is an added advantage. 

DUTIES AND RESPONSIBILITIES

  • Patrol retail shop premises and report any incident to management.
  • Investigate disturbances incidents that occur from time to time in liaison with management.
  • Monitor entry and exit points of retail shop.
  • Checking all invoices for goods purchased by staff and customers
  • Call help in emergency situations with the assistance of Manager on duty.
  • Take visitor register and details as required.
  • Operate theft detecting devices
  • Dealing with large crowd like where there are queues.
  • Building customer and other stakeholders relations
  • Securing cash movement by escorting to a place of safety.
  • Protect and/or watch over company assets and spaces
  • Sound alarm or place necessary calls to the appropriate authorities (police or fire service) in case of any emergency
  • Secure spaces and ensure the safety of those driving in and out company environment
  • Control and supervise the entrance of both individuals and vehicles.
  • Capture and detain offenders in case further investigation is required and report 
  • Monitor the exit points and carryout search where necessary. 
  • Maintain vehicle records in and out.
  • Assisting during emergencies, ensuring minimal injury to people and damage to property.
  • Removing or restraining anyone who threatens the safety or disturbs the peace.
  • Following orders and working as part of a team to ensure the safety of staff and customers.
  • Carrying out any other relevant functions as assigned.

POST D: FLOOR SUPERVISOR ( 1 POST )

QUALIFICATIONS AND EXPERIENCE

  • At least 5 ‘O’ Level subjects including Mathematics and English
  • Diploma or Degree in Marketing/Business Management/Retail Management.
  • At least 1 years’ experience in retail industry.

DUTIES AND RESPONSIBILITIES

    • Responsible for attaining set revenue at and maximise profit.
    •  Recommend and drive implementation of strategies and tactics that help maximize sales at the least possible costs. 
    •  Recommend and implement tactics to ensure attainment of set number of products sold target.
    • Account for all departmental stocks in the floor (merchandising). 
    •  Ensure adherence to set timelines stock counts and that all variances are promptly reported to the Assistant Shop Manager. 
    • Implement strategies that ensures that departmental stock losses are minimized and managed properly.
    •  Ensure implementation of controls to manage shrinkage through theft, damages and expiry using contemporary methods for stock management. 
    •  Implement plans to ensure zero departmental stock-outs and maintain a correct product mix that satisfies customer needs and preferences at all times. 
    •  Regularly engage with customers and obtain feedback and customer expectations on the product range, product mix and quality.
    •  Conduct regular market analysis, understanding competitor activity and collate all the market intelligence information, and share with shop management for strategic planning purposes. 
    • Responsible for ensuring that targeted contributions levels of house brands are achieved and that house brands obtain share of prime shelf space. 
    •  Recommend mark-downs and re-merchandise as appropriate and adhere to set stock holding periods and avoid product expiry on shelf or warehouse.
    •  Jointly work with the Buyer and Shop Manager to manage shop lay-out, product mix on the shelves and ensure effective product displays,
    •  Adhering to Catman and ensuring that product distribution to the customers is smooth, timeous and efficient.
    •  Control and liaise with external merchandisers.
    •  Ensure the implementation of set systems that minimize stock holding period and stock losses due to breakages, theft, poor displays unaccounted deliveries.  
    • Monitor the safety standards at the department, managing cases of workplace hazards such as fire safety or any possible injury at work. 
    •  Monitor the effective implementation of SOPs to avoid workplace hazards, and submit recommendations to the Assistant Store Manager on the interventions to eliminate workplace hazards. 
    • Ensure that the Floor department 100% compliance on the cleanliness and hygiene of the sales floor area and fixture and fittings (shelving, fridges & lighting) in a good state. 
    •  Ensuring that Floor staff have appropriate protective clothing in the Floor department. 
    •   Ensure that all departmental staff members are effectively executing their responsibilities and align team with activities that will ensure that business goals are met. 
  • Conduct quarterly staff performance appraisals and ensure departmental staff have an opportunity for ongoing training programmes.
